Role Overview

The Order Processor will manage customer orders from start to finish across Salesforce (SFDC), NetSuite, and the YubiKey as a Service (YaaS) Customer Portal. This role is responsible for checking order accuracy, confirming product details, pricing, payment terms, and supporting documentation, while serving as the operational link between Sales, Product, Support, Customer Success, Solutions Engineering, Deals Desk, Finance, Production, Planning, Logistics, Inventory, and Fulfillment teams.

Key Responsibilities

  • Enter, validate, and process customer purchase orders accurately in SFDC, NetSuite, and YaaS, including product configuration, pricing, payment terms, and required documents.
  • Work closely with Deals Desk, Sales, Finance, Production, Logistics, and Fulfillment to identify discrepancies and resolve order exceptions.
  • Track orders from creation through delivery, respect shipping lead times, and share timely updates when delays arise.
  • Oversee the purchase order lifecycle and handle returns in line with company procedures.
  • Respond to incoming order-related support requests while maintaining a positive customer experience.
  • Develop and update standard operating procedures and work instructions to create consistent processes.
  • Spot bottlenecks in the workflow and introduce improvements that increase efficiency.
  • Keep stakeholders informed with prompt status updates and escalate issues to the Sr. Manager, Order Management — US when needed.

Requirements

  • At least 5 years of experience in order processing, order management, or a similar operations function.
  • Background working cross-functionally with Sales, Finance, Customer Support, and Logistics teams.
  • Strong working knowledge of NetSuite, Salesforce, SFDC Service Cloud, Magento, and Stripe.
  • Comfortable using Office and Google Workspace tools such as Docs, Sheets, and Slides.
  • Proven ability to create SOPs and drive process improvements.
  • Highly detail-focused, organized, service-oriented, and analytical, with solid problem-solving ability and a willingness to learn.
  • Excellent written and verbal communication skills.
  • Must live in the San Francisco Bay Area and be able to work from the Santa Clara, CA office five days per week.
