Role summary
This position is responsible for ensuring that infrastructure and administrative needs across departments are met efficiently. The role focuses on coordinating support services, keeping communication flowing smoothly, and using available resources effectively so that everyday operations run without interruption.
About the organisation
The company operates in the broking and securities space, covering equity, commodity, and currency businesses. It has a workforce of around 800 people across nearly 40 locations and serves more than 3 lakh customers. Commodity operations are handled through a wholly owned subsidiary. The business works in a tightly regulated environment under authorities such as SEBI, RBI, AMFI, FMC, and IRDA, and is also subject to inspections and monitoring by bodies including NSE, BSE, NCDX, MCX, NSDL, and CDSL. It competes in a fragmented market against major national broking firms and several local players.
Key responsibilities
- Oversee the smooth functioning of head office operations, including security, housekeeping, telecom support, assistance to the operations team, and general administrative and infrastructure support for employees.
- Manage maintenance, compliance, procurement, disposal, lock-and-lease handling, rent administration, and agreement renewals for branches across India, based on need assessment and management approval.
- Evaluate suppliers on pricing and quality to support capital and revenue spending decisions for items such as air conditioners, office furniture, UPS systems, EPABX systems, and fire extinguishers.
- Identify ways to make better use of existing assets and reduce unnecessary procurement to help control budget requirements.
- Coordinate with vendors for installation of new equipment and monitor renewal of annual maintenance contracts across all locations nationwide.
- Handle statutory and operational requirements for office setup and continuity, including licence procurement and renewal, Shops & Establishments Act registration, payment processing, and periodic branch visit follow-ups.
- Maintain master records, arrange storage of completed KYC documents, and retrieve them whenever needed.
- Support onboarding, exits, payroll inputs, reimbursements, MIS activities, and statutory compliance-related working.
- Prepare and share different MIS reports covering lease agreements, monthly rentals, FMRE, PM reports, provisions, branch petty cash expenses, and floor-wise head-office access control.
- Monitor capex and opex consumption, as well as asset additions, deletions, and movements.
- Work closely with branches and vendors to resolve issues, address queries, and ensure requirements are fulfilled on time.
- Ensure head-office facilities remain operational, including telephones, EPABX, UPS, and inverters.
- Maintain cleanliness standards, supervise facility personnel, manage vendor agreements, raise purchase orders when needed, and process vendor payments.
- Provide workplace continuity support during adverse weather or emergency situations, including ensuring power, phone connectivity, and basic amenities.
- Share ABG workspace data with the central team and support branding-related activities.
Challenges in the role
- Building strong working relationships with internal and external vendors while securing timely supply under favourable commercial terms.
- Handling administrative functions such as housekeeping, infrastructure planning, fire extinguisher AMC and refilling, security, and efficient resource use.
- Maintaining an effective workplace environment even during cyclone, heavy rain, storm, or similar disruptions.
