About the Role
The National Maternity Hospital is seeking a dedicated Learning & Development Administrator to provide essential administrative and logistical support for its training programs and overall strategy. This role is crucial for ensuring the seamless execution of all learning initiatives by managing schedules, coordinating event logistics, maintaining accurate records within the Learning Management System (LMS), and facilitating communication between participants and instructors.
Responsibilities
- Facilitate the delivery of both online and in-person training sessions.
- Prepare and manage all necessary course materials.
- Address inquiries related to Learning & Development via email and phone.
- Contribute to the creation of marketing collateral, such as posters and handouts.
- Maintain and update course data within database systems.
- Collaborate with the IT department to resolve any course delivery technical issues.
- Liaise with the Administrator of the Education and Practice Department.
- Provide assistance with course assessments.
- Organize and manage training venues and equipment.
- Offer support to hospital training presenters and their course content development.
- Undertake ad hoc projects as assigned.
- Support the Learning and Development Governance committee with administrative tasks, including minute-taking and room reservations.
- Coordinate the Transition Year Programme and other assigned programs.
- Provide administrative assistance to the entire Education & Practice Development team.
- Generate training reports as required.
- Engage in HR Department projects, such as HR system enhancements, including the upgrade and automation of eLearning, Softworks, app development, report automation, support, and maintenance, as well as Performance Achievement initiatives.
- Assist in the management of employment and training records, both internally and at a national level.
- Actively participate and contribute to the HR team's objectives.
- Offer administrative support to the HR Department as needed.
- Input and update data within Totara, the hospital's Learning & Development system.
- Compile and maintain comprehensive education records.
Requirements
- Proven administrative experience, preferably in a training or L&D environment.
- Proficiency in using Learning Management Systems (LMS), specifically Totara, is highly desirable.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Ability to manage multiple tasks and prioritize effectively.
- Experience with database management and report generation.
- Familiarity with HR systems and processes is an advantage.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Discretion and ability to handle confidential information.
