Role overview

Based in Ballycoolin Business Park, Dublin, this Administrator position sits within the HR function and reports to the HRIS Manager. The role focuses on timely, accurate administration across employee records and lifecycle activities, while supporting service delivery for assigned business units. You will work closely with the wider HR team and partner with specialist areas such as HR Business Partners, Talent Acquisition, Talent Development, HR Policy & Governance, Global Mobility, Reward, Payroll and Tax.

This role follows a hybrid pattern of 3 days in the office and 2 days working from home.

What you will do

  • Keep digital HR records current, tidy and correctly organised.
  • Handle reference checks for current and former employees in accordance with internal procedures.
  • Manage both electronic and physical personnel files, making sure filing is completed promptly.
  • Support the HR shared inbox by tracking and responding to tasks and requests.
  • Maintain a current procedures guide for key HR administration activities.
  • Update employee information in SAP, including starters, leavers, sickness absence and other leave where needed.
  • Work with HR Business Partners and Payroll to communicate employee changes and assist with benefits administration.
  • Support onboarding for new hires through Mercury Experience or DocuSign, including preparing employment contracts and related paperwork.
  • Acknowledge resignations and process leaver administration quickly and accurately.
  • Manage leaver documentation, including cases involving disciplinary action, and ensure records are filed in line with employment law.
  • Arrange exit interviews for employees electronically.
  • Follow Health & Safety policies and take reasonable care for your own safety and that of others.
  • Promote company policies and values and encourage staff awareness and participation where appropriate.
  • Protect personal and confidential information in line with data protection requirements.
  • Complete additional tasks as directed by HR Management and other ad hoc duties connected to the role.

What we are looking for

  • At least 2 years of experience in a comparable administration support position.
  • Strong discretion when dealing with sensitive and confidential information.
  • Good IT capability, including confident use of Microsoft Office.
  • Comfort working collaboratively as part of a team.
  • Fluent English.
  • Experience with SAP is an advantage.
  • Knowledge of additional languages such as German, Spanish, French, Dutch or Italian would be beneficial.
