Role overview
The Procurement Specialist supports the procurement function by handling vendor coordination, purchase order tracking, data maintenance, and reporting. The position is based in Austin, TX and is focused on helping ensure material availability, accurate records, and smooth internal communication across related teams.
Core duties
- Keep product and supplier records current in internal systems, including expected delivery dates, notes, and the correct work order status so the right teams are informed about material availability.
- Check vendor order acknowledgements for completeness and accuracy, including item details, lead times, quantities, and pricing, then follow up to help ensure materials arrive on time.
- Track back-orders, shipments, and product movement, and stay in contact with vendors as needed.
- Share purchase order numbers with suppliers to confirm orders have been placed.
- Maintain the vendor scorecard so customer satisfaction results are reflected accurately.
- Match purchase orders with invoices and resolve discrepancies.
- Work closely with procurement colleagues and partner departments, including branch locations, to support receiving and put-away targets and coordinate with accounting so suppliers use the correct invoicing process.
- Coordinate and plan meetings that help procurement operations run efficiently.
- Support the preparation and review of RFPs.
- Create reports such as supplier performance, spending by commodity, and cost savings.
- As needed, support general office services such as ordering supplies, managing mail distribution, maintaining office equipment, and handling facility-related issues.
- Take on additional responsibilities as assigned.
Supervisory scope
This role does not include direct management of employees.
Requirements
- High school diploma or GED is required.
- At least 1 year of relevant experience is required.
- Some college coursework is preferred.
- Experience in the automotive field is a plus.
- Intermediate proficiency with Microsoft Word and Excel.
- Comfort with basic arithmetic, including addition, subtraction, multiplication, and division using whole numbers, fractions, and decimals.
- Regular use of email, word processing tools, spreadsheets, data entry systems, graphics, databases, and presentation software to support business needs.
- Ability to write short messages, keep simple records, and explain routine procedures when needed.
- Capable of handling repetitive, routine issues by following established procedures.
- Decisions generally affect the individual role or assigned function.
- Able to work with broad direction while setting personal goals and working toward results.
- Strong ability to juggle multiple tasks or projects of moderate complexity at the same time.
- Work is largely desk-based and requires sitting for long periods, with frequent use of a computer, keyboard, and mouse.
- May occasionally need to lift or move items up to 50 pounds.
- Periodic travel may be required, including overnight travel, up to 10% depending on position needs.
