Role overview
This full-time onsite position supports the DSD, DON, and Administrator by helping carry out facility policies and coordinating employee orientation and HR operations. The role combines human resources, payroll, compliance, and administrative support in a healthcare setting.
Key responsibilities
- Support the organization’s mission, values, and operational objectives.
- Follow supervisor instructions and comply with established facility policies and procedures.
- Handle sensitive information with strict confidentiality while working independently and collaboratively.
- Help plan and deliver orientation for new hires, including topics such as care philosophy, resident rights, safety, infection prevention, and facility rules.
- Stay current on legal and regulatory HR requirements and help ensure compliance in policies, procedures, and reporting.
- Support recruiting and onboarding activities, including screening candidates and coordinating interviews and schedules.
- Enter required information accurately into systems and records.
- Collect data and prepare HR-related reports as needed.
- Create and maintain records for hiring, transfers, promotions, and terminations.
- Assist with benefits administration, including medical, dental, vision, life, disability, pension, leave programs, and employee assistance.
- Work with the Risk Manager on complex HR and workers’ compensation matters when needed.
- Make sure in-service training is scheduled on time and posted in the proper locations.
- Keep accurate attendance records for orientation and in-service sessions.
- Support safety program coordination, including scheduling employee health screenings and tests as directed.
- Document or help coordinate fire drills and internal disaster drills.
- Communicate professionally and courteously with staff, residents, and visitors.
- Represent the facility positively and help maintain good public relations.
- Post job openings when requested.
- Answer routine questions and provide information to employees and others.
- Contribute to overall team goals and support related tasks as needed.
- Maintain dependable attendance and reliability.
- Assist with payroll responsibilities when required.
- Take part in facility surveys.
- Build strong working relationships across departments.
- Record incidents and accidents according to policy.
- Protect residents’ protected health information and report any suspected or confirmed improper disclosure to the Administrator.
- Complete other duties assigned by the supervisor, DON, or Administrator.
- Manage payroll workflow so transactions are processed accurately and on time.
- Track garnishments and other items that affect payroll processing.
- Update payroll records for changes such as exemptions, insurance coverage, deductions, job titles, and department transfers.
- Issue employee payments through checks or direct deposit.
- Prepare payroll reports covering earnings, taxes, deductions, leave, disability, and non-taxable wages.
- Process manual checks and termination payroll checks within required timeframes.
- Support payroll tax and liability calculations, including federal and state income tax, Social Security, unemployment, and workers’ compensation.
- Monitor sick leave and vacation accrual balances.
- Complete employment verification requests.
- Prepare payroll allocation reports for the finance team.
- Reconcile payroll before transmission and verify reports.
- Resolve payroll discrepancies and balance payroll accounts.
- Respond to payroll questions and requests while safeguarding confidentiality.
- Partner with the assigned HRBP on complex HR cases to ensure alignment with organizational policies and goals.
- Perform audits and correct issues to help keep the facility compliant.
Qualifications
- High school diploma or equivalent is required; two years of college is preferred.
- At least 2 years of administrative experience, ideally in an HR department, is strongly preferred.
- Strong interpersonal and customer service abilities.
- Ability to read and interpret business, technical, and government-related documents and regulations.
- Ability to write reports, business correspondence, and procedures, and to present information clearly.
- Comfort using math concepts such as fractions, percentages, ratios, and proportions in practical settings.
- Ability to solve problems and work through varied situations with limited standardization.
- Knowledge of clerical work, office equipment, and computer use is needed.
- Must be able to use office machines and equipment effectively.
- Ability to lift or move up to 25 pounds occasionally.
- Frequent sitting, standing, walking, speaking, listening, and computer use are part of the role.
- Regular use of office tools such as copier, scanner, fax machine, telephone, and calculator is expected.
- May need to assist with resident evacuation during emergencies.
- Travel by car or air may sometimes be required.
Benefits and compensation

- Paid time off that includes vacation accrual at 4 hours per month, sick leave accrual of 48 hours annually for full-time staff or 40 hours annually for part-time staff, prorated by hire date, and 7 paid holidays each year.
- Base pay of $30.00 to $35.00 per hour, depending on experience and education.
- Additional pay opportunities may be available, including shift differentials, on-call or standby pay, overtime, premiums, extra-shift incentives, and bonuses.
Supervisory scope
This role may have responsibility for supervising an HR Assistant.
