Dagen is hiring an Executive Assistant to support several attorneys and legal assistants at a well-established, expanding law firm located in Greenway Plaza, Houston. This role involves a mix of administrative, scheduling, communication, and office support tasks, with day-to-day priorities shaped by the needs of the assigned attorneys and legal assistants.
Administrative support
- Keep detailed calendars up to date for multiple attorneys and legal assistants.
- Handle phone calls for the attorneys assigned to you.
- Enter attorney time into the firm’s time-tracking system.
- Maintain a strong standard of confidentiality and discretion.
- Serve as a contact point between attorneys/legal assistants and clients.
- Coordinate meetings and conference calls.
- Prepare expense reports and help verify reimbursements.
- Build PowerPoint presentations when requested by attorneys.
- Organize and maintain attorney reading and working files.
- Arrange business travel for attorneys and legal assistants.
- Make restaurant reservations for work-related needs when requested.
- Coordinate courier pickups and deliveries.
Document and mail handling
- Edit and revise documents as needed.
- Prepare mailings and manage overnight delivery processing.
Reception coverage
- Step in for the main-floor receptionist from time to time when needed.
- Welcome visitors and guide them to conference rooms.
- Accept incoming deliveries.
- Take on additional related duties as assigned.
Qualifications
- Strong verbal and written communication ability.
- Professional phone etiquette.
- At least 5 years of experience working as an Executive Assistant.
- Solid working knowledge of Microsoft Office, including Word, Excel, and PowerPoint.
- Careful attention to detail with a high level of accuracy.
- Well organized, adaptable, and able to shift priorities quickly.
- Comfortable managing multiple tasks and deadlines at once.
- Works well as part of a team.
- Able to work independently with minimal oversight.
